THE FUND RAISING COMMITTEE OF THE HAYNER PUBLIC LIBRARY DISTRICT MINUTES OF THE MEETING HELD ON THURSDAY, OCTOBER 9, 2014 The Fund Raising Committee of The Hayner Public Library District met in the study room in the Alton Square Library, 132 Alton Square Mall, Alton, Illinois, on Thursday, October 9, 2014. The meeting was called to order at 3:45 p.m. Members Present Mr. Kevin Botterbush, Chairperson Ms. Mary Lou DeGrand Watson, Trustee Ms. Bernadette Duvernoy, Executive Director Ms. Lauren Erwin, Assistant Director of Acquisitions, Cataloging and Processing Members Absent Ms. Melissa Batchelor, Trustee Ms. Mary Cordes, Assistant Director Circulation and Strategic Services Ms. Sue Hardin, Chief Financial Officer and Assistant Director Human Resources Guests No guests were present Purpose The purpose of this meeting was to discuss fund raising projects and administrative issues. General Discussion An update was given by Ms. Duvernoy on the status of the cookbook. It is currently at the publishers and then will need to be proof- read prior to final publication. It is still expected to be available for pre-holiday sales. If available, the library will sponsor a sales table in the mall on Black Friday, November 28, 2014. 1000 copies of the cookbook are being published in the initial order. Ms. Duvernoy suggested the creation of a fund raising brochure to highlight ways to contribute to The Hayner Public Library District, including amazonSmile, eScript, Friends of the Library, book plates, general contributions, endowments, memorials, etc. The committee decided to pursue the creation of book stickers that can be purchased by patrons for display in the libraries. The stickers will display the name of the patron that contributed to the purchase of the sticker. Ms. Duvernoy will investigate costs of the stickers with Schwartzkopf Printing Inc. A fund raising Trivia night will be planned, taking place in April, 2015. Possible sites for the event include Marquette High School, the K.C. Hall or St. Ambrose. Mr. Botterbush will talk to Mark Slaughter regarding the use of Marquette High School. “Hats for Hayner”, an October, 2015 event is tentatively planned. At this event, participants will contribute decorated hats that will be available for sale to the guests. The event would take place in the Library of Genealogy and Local History and wine and appetizers would be served. Mr. Botterbush requested that an ongoing tally of fund raising income be maintained and presented to the committee on a regular basis. Mr. Botterbush requested that the discussion items for the next meeting (November 13, 2014 at 3:45 p.m.) include a cook book update, an update on the book stickers and initial planning of the Trivia Night project Adjournment There being no further business to address, the meeting adjourned at 4:15 p.m. ______________________________ Kevin Botterbush, Chairperson
